Schedule Management

The schedule management screen provides the easiest interface to update game information and perform numerous tasks required to maintain your schedule.  This also is one of the most complex screens in the software.  There are five sections:  1. Top section which has game selection parameters, 2. Game display grid, 3. the middle section has command buttons to perform numerous tasks, 4. availability selection parameters and 5. the lower section displays available game slots.

 

Start by selecting the parameters indicating the games you wish to display. Click the Display Games button to list all games satisfying the parameters. Once the games are displayed, you may click any of the headings to resort the list. The following is a list of options and functions that can be used from this screen.

Update Game Information

For any of the games listed you can update any of the following:

Once all the changes are made, click Save to save all the changes.  Note: you do not have to use the Select checkbox in order to update game information.

 

Reassign the Game to a New FieldLocation, Date and/or Time

To Reassign a game, you must:

  1. Display the game to be changed in the Games Grid.  

  2. Once it is displayed, click the checkbox in the Select column of the game to be reassigned. Only one selection may be made.

  3. Enter the Selection parameters to find available FieldLocation time slots.  If you do not see the parameters, then click the "Show Available Time Slots" link and it will appear.

  4. Click the  "Find Time Slots" button to list all the available times.

  5. Click the checkbox in the Select column of the available time slot to be used.  Note, the available time slots may not have the proper time range.  Once you decide to use it, you will be asked for the specific start and end times to use.

  6. Decide if you wish to keep history of the reassignment.  If you do, then check the box "Automatically Insert Notes of Changes Made", and the software will automatically insert appropriate notes into the Game Notes field indicating the change.  It will also keep the previous assignment and status the game as Reassigned.

  7. Click the "Assign Game to Slot" button.  A start/end time dialogue will appear for you to pick the appropriate start and end times.  

  8. Enter the appropriate times and click the Select button.

  9. The software will perform a dozen or so validations to ensure the reassignment can occur and if successful will update the game.  Otherwise a descriptive error message will be displayed.

 

Swap Games

Swapping Games is the process of selecting two Games and swapping their playing lcoation, date and time.  To swap a game, you must:

  1. Display the games to be swapped in the Games Grid.  

  2. Once it is displayed, click the checkboxes in the Select column of the games to be swapped.  Only two selection may be made.

  3. Decide if you wish to keep history of the swap.  If you do, then check the box "Automatically Insert Notes of Changes Made", and the software will automatically insert appropriate notes into the Game Notes field indicating the change.  It will also keep the previous assignment and status the game as Reassigned.

  4. Decide if the officials (if any) that are assigned to the games are to stay with the time slot or move with the game.  If they are to stay with the game (less likely option) then check the box "Check if Officials stay with the Game when Swapped...".

  5. Click the "Swap Games" button.  

  6. The software will perform a dozen or so validations to ensure the swap can occur and if successful will swap the two games.  Otherwise a descriptive error message will be displayed.

Swap Home/Visiting Teams

Swapping Home and Visiting teams does just that, will take the team that is at home and make it the visiting team and make the visiting team the home team.  To swap Home/Visiting teams, you must:

  1. Display the games that the Home/Visiting team are to be swapped in the Games Grid.  

  2. Once it is displayed, click the checkboxes in the Select column of the game(s) for which the Home/Visiting Team will be swapped.  Any number of games can be selected

  3. Decide if you wish to keep history of the swap.  If you do, then check the box "Automatically Insert Notes of Changes Made", and the software will automatically insert appropriate notes into the Game Notes field indicating the change.  It will also keep the previous assignment and status the game as Reassigned.

  4. Click the "Swap Home / Visitor" button.  

  5. The software will swap the Home and Visiting teams.  There are no validations that will prohibit the swap.

Unassign Games

This option will unassign all the playing location information about a game.  It then become unassigned.  It can later be assigned using the other functions on this screen.  

Delete Unassigned Games

Using the Game Scheduling Screen, you can save games that are generated but not assigned to a FieldLocation time slot.  These are called Unassigned Games.  You can delete these games from this screen, by selecting an Unassigned Game and clicking the Delete Unassigned Games button.

 

The schedule management screen can be used to enter tournament results. However, unlike the tournament management screen which processes completed series and moves teams through the draw, this function does not. Once all the tournament games listed in the games display grid are complete, you will have to go to Tournament Management and refresh the draw several times to register completed series and move the winners and losers to the appropriate next rounds.  Also note that the software does not validate that the rescheduling of tournament games affect any downstream games.
