Officials

The officials screen has a high level sort by Official Type.  This allows you to sort and view a single type of official.  If you are viewing a single type of official, the official type dropdown for the official is disabled and cannot be changed and all new officials add are only of the official type displayed.  

Details Tab

On the officials detail tab contain the officials type and basic demographic details, address, telephone, etc.  To add an official, click the New button, fill in at least the first and last names and click Save. To view the details of an existing official, click the officials name appearing in the Official’s Index Tree on the left. To modify details, make the appropriate changes on a displayed official and click the Save button. To Delete an Official, display the official, then click the Delete button.

You may also use our Import Data functionality to quickly bring in data from any outside system right into the League Analyzer.

Availability Tab

Defining an official’s availability for officiating is an optional function. You can still assign officials to games without indicating their availability. When you do assign officials to games, you have the option of whether to validate again the officials availability calendar or not. Both the Playing Locations and Officials screens use a similar calendaring function, the details of which can be viewed in the section on Calendaring.

Schedule Types

This functionality was remove.  It was deemed to be a difficult and confusing concept to schedule officials by many users.  We have added significantly more user friendly functionality to accomplish the same functions that the schedule types accomplished.

Schedule Tab

This tab displays all games assigned to the currently displayed official (also displays the other officials, if any, also officiating the same games). You can show all games or only those yet to be played. To print an official's schedule, click the 'Click the Print Schedule' link to be directed to our Schedule Printing Screen.  This games grid can also have fees updated.  To update the fee, simply enter in a new value in the fee column and click 'Save'.

Constraints

Officials can be automatically assigned to games similar to how games are assigned to playing location slots.  The constraints tab and the preference tab are used for this functionality.

The top section as two functions.  First you can determine how you wish to have official availability determined.  You can use our availability calendar function to indicate all times the official is available.  In conjunction with that, you can black out certain dates and times by using the scheduling constraints section at the bottom of the tab.  Refer to our section on Scheduling Constraints for more information on using the grid portion of this screen.

The other option is to assume the official is always available with the exception of the scheduling constraints.  This option ignores anything in the official availability calendar.

On the right are data entry fields for min/max games per day and games per week.  The automated officials scheduler will ensure these conditions are met.  You can also determine the minimum and maximum games in succession this official can officiate. Games in succession are defined as two games on the same fieldlocation where the end time of the first game equals the start time of the second game. You must be careful when entering parameters not to create a situation where the official can never officiate a game.  If the maximum games per day was set at 3, but the minimum games in succession was set to 4, these constraints can never both be met and the official will not be scheduled to officiate any games.  When you have finished entering all your constraint data, click 'Save'.

Preferences Tab

The preferences tab has three further data input grid to customize the officials scheduling functionality.

The top left grid is the division skills preference.  Use this grid to indicate the officials preference (or capability) to officiate games from divisions with teams of these skill levels.  This grid can be used in a number different ways.  You could set up division skill levels (on the maintenance tab of the Preferences screen) such as 'Thursday Night', 'Saturday Morning' and indicate the official preference to officiate those types of game.  The general function is that a division can be assigned a division skill level and officials can have preferences as to which division skill levels they wish to officiate.  Enter numeric values in the grid.  A blank is valid and will be defaulted to a value you select when running the officials scheduling function.  A value of zero indicates that the official will NOT officiate game from divisions with that particular skill level.  After that, values from 1 to X indicate preference with 1 being the lowest.  This function is option for officials scheduling and you can chose to ignore it.

The lower left hand grid is the officials pairing grid.  Here you can indicate preferences for officiating with other officials.  For example in he grid above, this official has a preference to officiate with 'Too Jones (judge)', 'Bob Loblaw (Scorekeeper)' and 'Bob Roberts (Scorekeeper)'.  Since all other officials are ranked with a zero, this official will NOT be scheduled to officiate games with those officials.  

The lower right grid is our Location preferences grid.  This is used in numerous places within the software and its functionality can be viewed by going to our Playing Locations Pretences section.  Once all data has been entered, click 'Save' to save your preferences.

 

Printing

You can print officials availability reports from the Details Tab. The printing options section below is on the Details Tab.

You can elect to print all officials availability, all officials for the current official type displayed or just the currently displayed official.  Select a date range and check the box 'Print in Calendar Format' to print in a monthly calendar view.  When all parameters are select, click the Print button on the tool bar to show the report on screen.  From there you can click the print button to produce a hard copy on your printer.
