This function allows the importing of fieldlocation availability times. This function is for importing availability and not importing fieldlocation game times for currently scheduled games. The software cannot import games and times. Please contact Analyzer Support if you wish to have game details imported.
You may already have data in a Spreadsheet of data you wish to import or may have an availability file that you previously exported. We recommend that you use our empty preformatted excel spreadsheet or one that our software exported. Our import spreadsheet is located in the programs directory in which you installed the software (default is C:\Programs Files\AnalyzerSoftware\LAFSP) and is called ImportSheets.xls. There are tabs for players, teams, contacts and officials are used for a different process to import through an Access Database. It is a good idea to make a copy of this excel file so that you always have an empty version. Also, future upgrades may replace this excel template so it is a good idea to rename it so as not to lose any data you store within it.
You may import data from your own spreadsheet. The restriction being that columns order must match exactly the columns order in our preformatted excel spreadsheet. You cannot have missing columns or too many columns. The columns required are:
Playing Location: Main location, arena, park, etc. containing your individual fieldslocations. If this name matches one currently in the software, it will be used, otherwise, a new one will be added (you will be prompted before any data is added).
Location: Name of your individual fieldslocations. If the locations do not exist, they will be added (you will be prompted before any data is added).
Description: Optional description of the Availability slot being added
Start Date: Since you can import recurring calendar entries, this is either the game date or the start date of a range of dates. (field should be an excel date format)
End Date: Since you can import recurring calendar entries, this is either the game date or the end date of a range of dates. (field should be an excel date format)
Start Time: The start time that games can start to be scheduled for the start and end dates entered.
End Time: The end time of the last game that could be scheduled during this availability slot.
Frequency: One of "One Time", "Every Day", "Every Week Day", "Every Weekend Day", "Once a Week", "Once a Month". The spelling and spacing must be identical, or the software will assume "One Time".
Rank: Value from 0 -10 which indicates the preference to use this slot as opposed to others. The higher the value, the greater the preference to use.
Location Rate: Special Rate that games or practices using this availability slot will need to pay the fieldlocation. The fieldlocation can have a default rate for all games played on it and if you wish to use that, then this rate should be zero.
Schedule Type: This is the method of linking the fieldlocation. availability to the scheduling of games. Please refer to our section on Calendaring Function if you are not familiar with this concept.
Once you have entered all of you data into the excel spreadsheet it must be saved into at CSV format. Click the File|Save As function and "CSV (Comma delimited) (*.csv) as the Save as Type: Click the save button. You will get a pop-up message like the one below.

Click OK, then you receive a second message.

Click Yes. The file will now be saved and can be imported into our software.
To import the availability file, with the software open, click on Reports from the menu bar and select "Import fieldlocation availability from CSV Format". You will be prompted to select a CSV file which should be the one saved above. Once selected the software will import the availability times. If the software encounters any errors, they will be shown to you in a message box. The software will continue to import all valid entries. The software also will track all activity of the import in a log file located at C:\Program Files\AnalyzerSoftware\LAFSP\Import.Log. Check this log for any error messages. This operation whether it ends in an error or not, cannot be undone unless you delete the availability. A database backup is a good idea to do before importing any data.
