You can use our world class game scheduler to generate your games, but if you already have games scheduled or for whatever reason what to generate games or record game results outside of our software, you can import them right into our software. This function allows the importing of games being played with their corresponding fieldlocation times. Games can be of any status (completed, pending, cancelled, etc.). If a game is being imported and the GameID matches a game already in the software, it will
N.B. It is very import that before any import function that you make a backup of your database. This can be done by simply making a copy of the database file (lafspdb.mdb) or by using our Back up facility.
You may already have data in a Spreadsheet of data you wish to import or may have a file of games that you previously exported from another software package. We recommend that you use our sample preformatted excel spreadsheet. Our import spreadsheet is located in the programs directory in which you installed the software (default is C:\Programs Files\AnalyzerSoftware\LAFSP) and is called ImportSheets.xls. There are tabs for players, teams, contacts, officials are used for a different process to import through an Access Database. It is a good idea to make a copy of this excel file so that you always have clean version. Also, future upgrades may replace this excel template so it is a good idea to rename it so as not to lose any data you store within it.
You may import data from your own spreadsheet. The restriction being that columns order must match exactly the columns order in our preformatted excel spreadsheet. You cannot have missing columns or too many columns. The columns required are:
Schedule Name: This is a critical record for importing. You must create a schedule record in the software to provide context around the games being imported. It determines if these are games or practices. It also allows the games to be supported by many of the software's features. The schedule record is really a placeholder and an existing one with games already generated will work.
GameID: This is a unique ID for the game that many leagues use to track games. You can optionally leave this column blank and the software will generate it for you.
Playing Location: Main location, arena, park, etc. containing your individual fieldslocations. If this name matches one currently in the software, it will be used, otherwise, a new one will be added (you will be prompted before any data is added).
Location: Name of your individual fieldslocations. If the locations do not exist, they will be added (you will be prompted before any data is added).
Fees: Optional data which is a charge for the game using the particular fieldlocation.
Game Date: The date of the game. (field should be an excel date format)
Start Time: The start time of the Game.
End Time: The end time of the Game.
Home Team: This is the home team for the particular game. If you do not use home/visiting team concept, this is just one of the teams.
Home Score: This is the home teams score of the game. Enter zero or blank if the game has not occurred or was not played for any reason.
Visiting Team: This is the visiting team for the particular game. If you do not use home/visiting team concept, this is just the other team. If this is a practice, this team can be blank, otherwise it is required.
Visiting Score: This is the visiting teams score of the game. Enter zero or blank if the game has not occurred or was not played for any reason.
Overtime: Enter 'Y' if the game went into overtime/extra innings, etc. Enter 'N' or leave blank if it did not.
Home Fee: This is the fee that the home team pays to the league for the game.
Visiting Fee: This is the fee that the home team pays to the league for the game.
Status:
This is the status of the game. Valid
entries are: Completed, Pending, Forfeit
Cancelled, Cancelled by League, Cancelled by Location and Rescheduled.
Any other
values are invalid.
IMPORTANT: The software will help with the import. If playing locations, fieldslocations, and teams are not in the software, then the software will ask you if you want to add them and will add new records. Therefore in order to import all of your games data, you only need to set up a schedule record. Any new teams added will not be assigned to a division of a league. The new teams must be added to any division of any league before the games can be viewed in the software.
Once you have entered all of your data into the excel spreadsheet it must be saved into at CSV format. Click the File|Save As function and "CSV (Comma delimited) (*.csv) as the Save as Type: Click the save button. You will get a pop-up message like the one below.

Click OK, then you receive a second message.

Click Yes. The file will now be saved and can be imported into our software.
To import the Games file, with the software open, click on Reports from the menu bar and select "Import Games from CSV Format". You will be prompted to select a CSV file which should be the one saved above. Once selected the software will import the Games. If the software encounters any errors, they will be shown to you in a message box. The software will continue to import all valid entries. The software also will track all activity of the import in a log file located at C:\Program Files\AnalyzerSoftware\LAFSP\ImportGames.Log. Check this log for any error messages. This operation whether it ends in an error or not, cannot be undone unless you delete the games yourself (a good reason to add them to a new schedule record). A database backup is a good idea to do before importing any data.
